How Swiss Club Miami collects, uses, and protects your personal information.

Who we are

Swiss Club Miami is a 501(c)(7) non-profit social organization founded in 1941. This Privacy Policy describes how the club, operating the websites and member portal at swissclubmiami.org (and related subdomains), collects and uses your personal information when you apply for membership, renew, register for events, contact us, or interact with our communications.

Information we collect

  • Identity & contact data: first and last name, email address, mobile phone number, mailing address, date of birth, and (where you provide it) spouse name, employer, and emergency contact.
  • Membership data: tier (Individual or Family), join date, renewal history, status, and payment records held with our payment processor (Stripe).
  • Event data: events you have registered for, guest names, dietary preferences, and attendance history.
  • Communication preferences: whether you have opted in to SMS messages, email newsletters, and printed mail, and the date and source of those opt-ins.
  • Site usage data: standard server logs (IP address, browser, timestamp) and authentication session data. We do not use third-party advertising trackers.

How we use your information

  • To process your membership application, dues, and renewals.
  • To register you for events, send you confirmations and reminders, and check you in on event day.
  • To send transactional notifications (payment receipts, password resets, dues renewal reminders) by email and, with your consent, by SMS.
  • To send club news, events, and announcements when you have opted in to those communications.
  • To operate the member directory, governed by your individual privacy settings within the portal.
  • To meet our legal, tax, and 501(c)(7) reporting obligations.

SMS / text messaging

We offer SMS messaging for transactional purposes (event reminders, dues renewal reminders, payment confirmations) and, with your additional consent, club announcements and event invitations.

  • Mobile information collected for SMS will not be shared with or sold to third parties for marketing purposes. SMS opt-in data and consent are not shared with affiliates.
  • You may opt out at any time by replying STOP to any of our messages, or by toggling SMS notifications off in your member profile.

Email

Transactional emails (account confirmations, payment receipts, password resets, event RSVP confirmations) are sent based on your membership relationship with the club. You can unsubscribe from non-transactional newsletters and announcements at any time using the unsubscribe link in those messages or by emailing info@swissclubmiami.org.

How we share your information

We do not sell your personal information. We share information only with the service providers we rely on to operate the club:

  • Stripe — to process membership dues, event ticket payments, and sponsor payments. Card data is collected and held by Stripe directly; we never see card numbers.
  • Supabase — to host the membership database (encrypted at rest and in transit).
  • Resend — to deliver transactional and announcement emails on our behalf.
  • Go High Level / our SMS provider — to deliver SMS messages on our behalf to members who have opted in.
  • Vercel — to host the website and member portal.

Each of these vendors processes your information only on our instructions and only as needed to deliver the service. We do not authorize them to use your information for their own marketing.

Member directory

Active members may opt to appear in the member directory, which is visible only to other active members logged in to the portal. You control which fields (email, phone, employer, etc.) are visible via the privacy settings in your profile. The directory is never indexed by search engines or shared publicly.

Your rights

  • Access & correction: view and update your profile information at any time from your member dashboard.
  • Deletion: request deletion of your account and associated personal data by emailing info@swissclubmiami.org. Records the club is required to retain for tax or legal purposes (such as historical payment records) will be retained for the legally required period and then deleted.
  • Opt-out: opt out of SMS via STOP, opt out of non-transactional email via the unsubscribe link, or update preferences in your member profile.
  • Complaints: contact info@swissclubmiami.org with any privacy concerns.

Data retention

We retain member profile and membership history for as long as you are an active or expired member, plus seven years after your last membership year, to support tax records, audit trails, and the re-activation of lapsed memberships. Communication logs (SMS, email) are retained for two years. You may request earlier deletion as described above; we will honor the request except where retention is legally required.

Security

We use TLS in transit and encryption at rest for our database and backups. Access to member data is restricted to club officers and administrators who need it to operate the club. Card numbers are never stored on our servers; payments are handled by Stripe.

Children

The club is for adult members. Children under 13 may attend events as guests of their family-membership parents but should not create accounts on the portal. We do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated to current members by email and announced in the member portal. The “Last updated” date at the top of this page reflects the most recent revision.
